Sharing Documents and Workspaces, and Revoking Access

A share link gives anyone with the URL read-only access to a single document, or a whole workspace, without needing an Orlo account. It's the fastest way to send an accountant your receipts, a tenant their tenancy agreement, or a school your child's records.

Creating a link

Click Share on any document, or on a workspace from its settings. Choose an expiry — 7 days, 30 days, or never — and Orlo generates a unique link. Copy it and send it however you like; the recipient doesn't need to sign in or create an account.

What the recipient sees

Exactly the target and nothing else — a single document, or every document in a shared workspace, all read-only. They can't see your other workspaces, your reminders, or any personal account details. They can't edit or delete anything.

Managing every link in one place

Go to Settings > Shared links to see every link you've ever created, across every document and workspace, in a single list. Each one shows how many times it's been viewed, when it was last viewed, and when it expires (or expired). Filter by workspace if you have more than one, and switch to the History tab to see links that have already expired or been revoked.

Revoking a link

Click Revoke next to any active link, either from the Share dialog on the document/workspace itself or from the Shared links page. Access is cut off immediately — anyone who still has the URL will no longer be able to open it. You can create a new link for the same target at any time.

Expiry vs revoking

A link with an expiry date stops working on its own once that date passes — you don't need to remember to revoke it. Revoking is for when you want to cut access off early, before the expiry you originally set.

How many links can I have active at once?

  • Free: up to 5 active links
  • Basic: up to 20 active links
  • Pro: up to 200 active links

This limit only counts links that are currently active — revoked and expired links don't count towards it, so there's no need to manually clean them up to free up space.
