Getting Started
What is Orlo?
Orlo is a secure AI-powered document assistant built by Mearovate. Upload any document, from insurance policies and MOT certificates to passports, tax returns, utility bills, and warranties. Orlo uses AI to extract key information like dates, amounts, and terms, then creates smart reminders before important deadlines so you never miss a renewal, payment, or expiry.
How do I get started?
Getting started with Orlo is simple. Create a free account at getorlo.app, then upload your first document. Our AI will automatically scan and extract the key information. You can then review the extracted data, organise your documents, and set up reminders for important dates.
What file types does Orlo support?
Orlo supports a range of common document formats including PDF, PNG, JPG, and JPEG. PDF is the recommended format for best extraction results, particularly for text-heavy documents such as contracts and policies.
Is there a free plan?
Yes. Orlo offers a generous free tier that includes 5 uploads per month, basic document scanning, and full dashboard access. This is a great way to try the service before committing to a paid plan. Paid plans offer higher document limits, additional features such as AI-powered extraction and smart reminders, and priority processing.
Do I need to install anything?
Orlo works in your browser with no installation needed. Simply visit getorlo.app, sign in, and start uploading. Native iOS and Android apps are also available on the App Store and Google Play.
Documents
How does Orlo extract information from documents?
Orlo uses advanced AI models to analyse the content of your uploaded documents. When you upload a document, it is securely sent to our AI processing pipeline, which reads the text and identifies key information such as dates, monetary amounts, names, reference numbers, and important terms. The extracted data is then presented to you in a structured, easy-to-read format.
Can I edit the extracted data?
Yes. After the AI extracts information from your document, you can review and edit any of the extracted fields. We always recommend reviewing the extracted data to ensure accuracy, particularly for critical details like dates and amounts.
What types of documents does Orlo support?
Orlo supports 15 document types: insurance policies, invoices, receipts, bookings, subscriptions, events, warranties, contracts, medical documents (prescriptions, appointments, test results), tax documents (returns, P60s, self-assessment), vehicle documents (MOT certificates, vehicle tax, driving licences), travel documents (passports, visas, boarding passes), utility bills (electricity, gas, broadband), and memberships (gym, clubs, professional bodies). If a document does not match any category, Orlo will still extract the key text for your reference.
What types of documents work best?
Orlo works best with structured documents that contain clear text, such as insurance policies, contracts, tenancy agreements, MOT certificates, tax letters, passports, utility bills, warranties, and invoices. Documents with clean, readable text (especially PDFs with selectable text) will produce the most accurate extraction results.
How accurate is the AI extraction?
Our AI extraction is highly capable but not infallible. Accuracy depends on factors such as document quality, formatting, and complexity. For clear, well-structured documents, extraction accuracy is typically very high. However, we always recommend reviewing extracted data before relying on it. AI extraction is provided on a best-effort basis.
What happens if extraction fails?
In rare cases, the AI may be unable to extract information from a document, for example if the document is heavily damaged, handwritten, or in an unsupported language. If extraction fails, you will be notified and can try re-uploading a clearer version of the document. You can also manually enter key information if needed.
Reminders
How do reminders work?
Orlo can automatically identify important dates in your documents, such as renewal dates, expiry dates, and payment deadlines. You can enable reminders for these dates, and Orlo will send you a notification before the date arrives so you have time to take action.
What kind of reminders does Orlo create?
Orlo creates smart, progressive reminders tailored to each document type. Insurance policies get 4 reminders (6 weeks, 4 weeks, 2 weeks, and 3 days before expiry). MOT certificates and vehicle tax get reminders at 6 weeks, 2 weeks, and 3 days. Passports trigger a 6-month warning because many countries require that validity for entry. Tax documents track both filing and payment deadlines. Contracts alert you when the notice period begins. Warranties warn you 3 months, 1 month, and 1 week before coverage ends. Even receipts get return-window reminders for recent purchases. Each reminder tells you what to do, not just when.
Can I customise reminder dates?
Yes. You can customise when you receive reminders by choosing how far in advance you would like to be notified. For example, you might want to be reminded 30 days, 14 days, or 7 days before a renewal date. You can also add custom reminders for any date you choose.
How will I be notified?
Reminders are delivered via email and push notifications on both iOS and Android. You also get a weekly digest email every Monday morning summarising your reminders for the week, documents needing review, and upcoming calendar events. One email, everything you need to know.
What is the weekly digest?
Every Monday morning, Orlo sends you a short email with everything coming up that week. It includes active reminders that are due, any documents you have not reviewed yet, and calendar events for the week ahead. If you have nothing coming up, Orlo will not send the email. It is designed to take 30 seconds to read so you start the week knowing exactly where you stand.
Can I upload multiple documents at once?
Yes. You can drag and drop multiple files into the upload area and Orlo will process them all. Each document gets its own progress indicator so you can see what is being analysed. There is no need to wait for one to finish before uploading the next.
Can I organise documents with tags?
Yes. You can add custom tags to any document, for example "house", "company car", or "kids". Tags are searchable and you can filter your inbox by tag. Organise your documents however makes sense for you.
Can I search across all my documents?
Yes. The search page lets you find documents by title, reference, tags, or extracted content. If you are looking for a policy number, booking reference, or any detail Orlo has extracted, search will find it.
Can I export my data as a PDF?
Yes. In Settings you will find a "PDF summary" option that generates a printable overview of all your documents, upcoming reminders, and calendar events. You can save it as a PDF from your browser. This is useful for sharing with a financial adviser, solicitor, or just keeping a paper copy for your records.
Is there a light mode?
Yes. You can toggle between dark and light mode using the theme button in the sidebar. Your preference is saved and will be remembered next time you visit.
Does Orlo track price changes?
Yes. When you upload a document from the same provider and type as one you already have, Orlo automatically links them and shows the price change. For example, if you upload this year's car insurance and last year's is already in Orlo, you will see exactly how much the premium went up or down. This works across insurance, utility bills, subscriptions, memberships, and contracts.
What is the household dashboard?
The household dashboard is a single screen showing everything that matters in your home admin. Total monthly costs broken down by category, upcoming renewals with countdowns, key dates like MOT and passport expiry, price changes on recurring costs, and this month's spending compared to last month. It is designed to give you the full picture in one glance.
What are proactive alerts?
Proactive alerts are messages Orlo sends you when something needs your attention. If your insurance price went up when you renewed, Orlo tells you. If a contract or tariff is ending in the next 8 weeks, you get a heads-up. If your subscriptions total more than expected, you get a weekly summary. Alerts are delivered by email and push notification, and you can turn each type on or off in settings.
What are workspaces?
Workspaces are separate containers for your documents. Each one has its own inbox, dashboard, reminders, and forwarding email. Use them to keep personal documents separate from your business, give each rental property its own view, or share a household workspace with your partner. Free users get one Personal workspace; Basic includes 3 workspaces, Pro includes 20.
Can I share documents with someone who doesn't have Orlo?
Yes. Click Share on any document or in a workspace's settings. Orlo generates a public read-only link you can send to an accountant, tenant, or family doctor. Set an expiry (7 days, 30 days, or never) or revoke any time. The viewer sees just what the link targets — no other workspaces, no reminders, no contact details.
Can I invite my partner or accountant into a workspace?
Yes. On Basic you can invite 1 member across your workspaces; Pro lifts this to 10. Invited members sign in with their own Orlo account (free), see everything in the workspace, and (as editors) can add documents too. Remove them any time from workspace settings.
Can Orlo import documents from my email?
Yes, on the Basic or Pro plan. You get a personal Orlo email address like your.name@mail.getorlo.app. Forward any document to it, or set up a Gmail/Outlook filter that auto-forwards matching emails, and Orlo imports the attachment, classifies it, and sets reminders. It works with any email provider, not just Gmail.
How does the forwarding import work?
You forward an email to your Orlo address. Our inbound service receives it, checks the sender is on your allowed list, downloads the attachment, validates the file type, and runs the same AI extraction you get from a manual upload. A document appears in your inbox within a few seconds.
Will forwarded emails use up my upload limit?
Yes. Forwarded attachments count towards your monthly upload limit just like manual uploads. If you hit your limit, Orlo pauses importing until the 1st of the next month and emails you to let you know.
Can strangers spam my Orlo address?
No. Your Orlo address only accepts mail from addresses on your verified-senders list. Your sign-in email is on there by default, and you can add others (a work email, a partner's email) from Settings. Anything forwarded from an address not on the list is silently dropped.
How do I stop using email forwarding?
You can regenerate your address to a random string at any time from Settings, which immediately stops the current address accepting mail. If you downgrade to Free, the address stops working entirely until you upgrade again.
What attachments does Orlo import?
PDF and image files (JPEG, PNG, WebP, HEIC). Executables, scripts, macros, and archives are rejected. Orlo also checks the actual file contents match the claimed type so someone can't rename a virus to .pdf. Up to three attachments per email, 20 MB each.
Can I turn off reminders for a specific document?
Yes. You have full control over your reminders. You can enable or disable reminders on a per-document basis, or adjust the timing of individual reminders from your dashboard. Disabling a reminder will not affect any other reminders you have set.
Security
Is my data secure?
Yes. Security is a core priority for Orlo. Your documents are stored in private storage buckets with no public access. Our database uses row-level security to ensure you can only access your own data. All data is encrypted in transit using TLS/SSL and at rest using 256-bit encryption. Who can see my documents?
Only you can see your documents. Your uploaded files and extracted data are private to your account and protected by row-level security policies. No other users, and no unauthorised personnel, can access your documents.
Can I delete my documents?
Yes. You can delete any document from Orlo at any time. When you delete a document, the file and all associated extracted data are permanently removed from our active systems. If you delete your entire account, all of your data is removed.
Does Orlo share my data with anyone?
We do not sell or share your personal data with third parties for marketing purposes. Your documents are sent to OpenAI for AI-powered extraction processing, and payments are processed by Stripe. All third-party services we use are bound by their own privacy policies and data protection obligations. For full details, see our Privacy Policy.
Is Orlo GDPR compliant?
Yes. Orlo is designed with data protection in mind and operates in compliance with the UK General Data Protection Regulation (UK GDPR). You have the right to access, correct, or delete your personal data at any time. For more information, please refer to our Privacy Policy.
Billing
How does the free trial work?
When you sign up for the Basic or Pro plan, you receive a 14-day free trial with full access to all features of that plan. You will not be charged during the trial period. If you cancel before the trial ends, you will not be billed. If you do not cancel, your subscription will automatically begin and you will be charged at the standard rate.
Can I cancel at any time?
Yes. You can cancel your subscription at any time from your account settings. When you cancel, your paid plan will remain active until the end of your current billing period. After that, your account will revert to the free tier and you will not be charged again.
What payment methods are accepted?
Payments are processed securely through Stripe. We accept all major credit and debit cards, including Visa, Mastercard, and American Express. Depending on your region, additional payment methods may be available through Stripe.
Can I switch plans?
Yes. You can upgrade or downgrade your plan at any time from your account settings. When you upgrade, you gain immediate access to the features of the new plan. When you downgrade, your current plan remains active until the end of the billing period, after which the new plan takes effect.
What happens when my trial ends?
If you do not cancel before the end of your 14-day trial, your subscription will begin automatically and you will be charged the standard monthly rate for your chosen plan. You will receive an email reminder before your trial expires so there are no surprises.
