Notes: Writing Things Down That Are Not Documents

A document in Orlo is something you upload and the AI reads. A note is different: it is exactly what you typed, nothing extracted, nothing automated. Notes exists for everything worth writing down that does not come with a file attached.

Standalone or pinned to a document

A note can float on its own in your Notes list, or you can pin it to an existing document — useful for something specific about that document that is not part of the extracted data itself, like "ask about the excess before renewing" on an insurance policy. Pinned notes also show up directly on that document's page, not just in the general Notes list.

An optional reminder date

Give a note a date and it is delivered by email and push notification when that date arrives, through the same delivery system as every other reminder in Orlo. Leave the date blank and the note just sits in your list until you deal with it or delete it — there is no requirement that a note ever have a date.

Visible to your whole workspace

A note is scoped to whichever workspace it was created in, the same as documents and reminders. If you write a note in a Household workspace you share with a partner, they see it too — Notes is not a personal, single-user list the way most notes apps are.

Formatting and attachments

A note supports basic rich text — bold, italic, strikethrough, headings, bullet and numbered lists, links, text colour, and font — plus photo or PDF attachments (up to 10 per note, 20MB each). It is deliberately kept simple: enough to make a note clear and useful, not a full document editor.

Sharing a note publicly

Any note can be shared with a revocable, read-only public link — the same sharing model already used for documents and workspaces. Anyone with the link can view the note and its attachments without an Orlo account. Every note shows whether it is currently Public or Private, and you can revoke a link at any time from the note itself or from Settings › Share links.

You can edit or delete a note at any time, from the Notes page or from the document it is pinned to.
